Roles and Responsibilities of ExCom

1. Power and Functions of the Executive Committee

The Executive Committee (ExCom) will possess the sole authority and power to develop and execute rules, responsibilities, and policies of the society.

ExCom shall have the power to implement the of policies and programs of the society.

Every related matter shall be discussed among the ExCom members in general meetings and any dispute will be passed based on simple majority among the members present in that specific meeting

ExCom may appoint additional permanent sub-committees for dealing regular activities of the society. The sub-committee will report their activities to the ExCom in general or a specific ExCom member nominated by the ExCom.

ExCom may appoint additional temporary sub-committees for dealing special or specific activities of the society. The sub-committee will report their activities to the ExCom in general or a specific ExCom member nominated by the ExCom and will cease to function on completion of the activity or the program.

 

1.1 President:

Is the constitutional head of the society.

In absence of general secretary, may call any meeting

Will preside over the meetings of the ExCom and the annual general meetings.

will distribute and overlook the activities among all the office-bearers and will be responsible for successful implementation of any events and programs of the society.

If necessary, may confer the responsibility of conducting a meeting to other ExCom members.

In any despite if all the members of the committee are equally divided, may exercise an additional vote to break the tie.

1.2 Vice-President:

assisting the president in all activities. In absence of president, the vice-president will have all the rights and duties of the president.

1.3 General Secretary:

act as the Chief Executive Officer of the Society under the direct supervision of the president

will call meeting in consultation with the president.

Keeping all meeting agenda and minutes along with records like register of members, sub-committee reports, documents related to Annual General Meeting and submitting to Executive Committee Meetings as well as General Meeting.

Dissipate any changes in decision, policies and regulations among all the society members

May receive all funds both in the form of subscriptions, donations and sponsorships by issuing proper receipts for and on behalf of the society and hand over to the treasurer.

May exercise the power to make expenditures according to approved budget. However, any emergency/unforeseen expenditure must be jointly signed by the treasurer and approved by the president.

Will remain as ex-officio member of the sub-committees approved and formed the by Executive Committee.

1.4 Joint Secretary:

assists the General Secretary. In the absence of the General Secretary, the Joint Secretary shall have the powers and functions of the General Sectary.

1.5 Treasurer:

Collect membership fees, donations, sponsorships or any other contribution to the society and deposit to the authorized bank account

keep proper accounts of receipts and expenditures.

Prepare and present the annual budget along with duly audited accounts reports in the annual general meeting and ExCom meetings.

The bank account of the society will be operated under the joint signatures of any two of the following with the Treasurer being a compulsory signatory: President, General Secretary, Treasurer

In the absence of the Treasurer, the President in writing can nominate another member to operate the accounts, which shall be approved by the Committee in the next meeting.

1.6 Executive Committee Members:

Executive Committee Members work in co-operation with the ExCom and sub-committees for all activities. Any Executive Member may be co-opted in any sub-committee formed by the Committee.

 

2. Sub-Committees:

Sub-Committees will be responsible for encouraging, promoting, and organizing all sporting, cultural, recreational, social welfare and scholastic programs and projects.

2.1  Types:

The Committee shall have the power to form Sub-Committee from time to time to oversee specific functions, projects, etc. Any member of the Association may be co-opted to from the any Sub-Committee.
